Follow the instructions below to enroll a student in elementary (grades K–5) instruction with Virtual Virginia.

  1. Using your counselor/coordinator ID and password, log in to the Genius SIS. If you can’t remember your password, click the “recover password” link.
  2. Go to the student’s profile page.
  3. Under Actions, click Enroll in Section.

  4. In the Enrollment Status dropdown menu, select Full Time. Click on the Course dropdown menu, type “Grade” to populate grades 1-5.  For Kindergarten, type Kindergarten.  Select the grade level desired.

  5. The Term dropdown will auto-populate to allow you to choose between semester 1 or semester 2 enrollment.  Select Synchronous for the Asynchronous/Synchronous drop-down.  This is the only option for elementary grades.

  6. If you selected Semester 1, an option will appear to automatically also enroll the student in Semester 2.  Select Yes or No.

  7. Select the Mentor.

  8. Review the Enrollment Terms.  Click the box to agree to the terms.  Click Enroll.  You will automatically be transferred to the Payment Queue.

  9. If you do not see the enrollments in the Payment Queue, click Get Data.   Select the enrollments that need to be paid and click the Select Payment Method button.

  10. Select the Payment Method desired. If you select To Be Paid by Student in the dropdown menu, the family will be responsible for making the enrollment fee payment and they will receive an email notification.

To create Virtual Virginia student accounts in bulk for K–12 instruction, follow the directions below. This process must be completed by the local school counselor or division coordinator via the Virtual Virginia student information system (SIS).

Please ask your SIS data manager to provide you with a CSV file containing the information for your students based on the template linked below:

The SIS data manager may instead use the file linked below, which contains only the headers required for this file:

Please note:

  • If you are using a Mac, save the file in “Windows Comma Separated” (CSV) format, or CSV Unicode (UTF-8)
  • The only valid entries for the _Grade Level_ column are (K, 1, 2, 3, 4, 5, 6, 7, 8, 9, 10, 11, or 12).
  • The only valid entries for the _Accommodations_ column are (NONE, SECTION_504, IEP, or OTHER).

Once you have the data for your students in a properly formatted CSV file, follow the instructions below to upload the file to Genius to create your student accounts:

  1. Log in to the Virtual Virginia SIS using either…
    • the account of the local school counselor/coordinator who typically manages VVA enrollments or
    • the account of the division coordinator.
  2. Click the Affiliation tab and then select the affiliation (i.e., the name of your local school) from the list.
  3. Click Bulk Import Student in the list on the left side of the page.
  4. Click the Choose File button, find the file you saved in CSV format on your computer, and select it.
  5. Click the Upload button to begin processing the data.
    • Once the upload is complete, you will see a list of the successful uploads, as well as any errors that occurred and why.
    • Uploading a file with a large number of data records may require several minutes before a success/error list is shown.
    • Do not leave the page before the success/error list displays! If you leave the page before the success/error list is shown, the upload may not complete and you will need to repeat the process.

Errors in the File?

If there are errors in the file:

  • Fix the issues listed in the file.
  • Click the Bulk Import Student link to start over.
  • Upload the corrected file.

Student Course Enrollment

Once the Bulk Import Student process is complete, students may be enrolled in K–12 courses according to the instructions linked below.

  • Step 6: VVA sends enrollment agreement form to the enrolling school/division.
  • Step 7: The school/division signs enrollment agreement and returns to VVA.

Schools/divisions may request the following types of Virtual Virginia enrollment changes via the VVA student information system (SIS):

  • Start date changes
  • Synchronous instruction meeting time changes
  • Course withdrawals

Follow the instructions below to make enrollment change requests.

  1. Using your counselor/school coordinator/division coordinator ID and password, log in to the Genius SIS. If you can’t remember your password, click the “recover password” link.
  2. Click the Students tab at the top of the page.
  3. Click the name of the student for whom you wish to request an enrollment change.
  4. Click Enrollment Change Request under Enrollments on the left side of the page.
  5. Click the Pencil/Paper icon to the left of the course for which you wish to request an enrollment change.
  6. Click the dropdown menu and select the type of enrollment change you wish to request (Start Date Change, Live Session Time-Slot Change, or Withdraw Request).
  7. Depending on the type of change you select, use the options that appear to choose a new start date, a new live session time-slot, or reason for withdrawal.
  8. Click the Save Changes button.
    • The following confirmation message should appear: “Thank you for your request. You will receive an email when it has been processed.”
    • Please allow up to 48 hours (excluding weekends) to receive an email notification about approval or denial of your request.
    • If the change you request is a duplicate request, a message containing the text “already under review” will appear.
  9. Click the Close button.

Ensure that all of the following have been created prior to any course enrollments:

Remember that a student must already have an account in Genius SIS before that student can be enrolled in a course.


To enroll a student in Genius:

  1. Using your counselor ID and password, log in to Genius. If you can’t remember your password, click the “recover password” link.
  2. Go to the student’s profile page.
  3. Scroll down to Actions and click Enroll in Section.

  4. Confirm the student’s enrollment status.

  5. Select the Course name from the drop-down menu.

  6. Select the required academic terms from the dropdown menu. The courses offered in the selected academic terms will automatically populate. If a term is not listed, the course is not available during that term. For more information about Virtual Virginia’s academic terms, click on the provided link.

  7. Choose between Synchronous and Asynchronous. If you opt for Synchronous, VVA instructional specialists will transfer the student to a suitable synchronous session time.

  10. Review the Enrollment Terms. Click the box to agree to the terms. Click Enroll. You will automatically be transferred to the Payment Queue.

    • When enrolling students in VVA courses, the counselor, school coordinator, or division coordinator of record should regularly check the Payment Queue for the addition of any fee-based enrollments and choose a payment type for the enrollments (i.e., credit card or invoice).
    • If a payment type has not been identified in the Payment Queue within two calendar days, enrollments on the Payment Queue will be removed. Those students then must be enrolled again.
    • To make a payment to complete the enrollment process, follow the instructions on this page.

Parent Auditor Account enables parents/guardians, via the Genius SIS, to access teacher contact information, monitor student login activity, and view course grades.

To view if a Parent Auditor Account already exists for a student, follow these instructions.

If a Parent Auditor Account does not already exist for a student, please do the following to create one:

  1. Using your counselor ID and password, log in to Genius. If you can’t remember your password, click the “forgot password” link.
  2. On the next screen, click the Students tab. This will give you a list of students.
  3. You can locate specific students in the list. Click on a student’s name to visit their student page.
  4. In the menu on the left, click Parent Auditor Account. Here, you can see if a Parent Auditor Account already exists for this student.
    • If a Parent Auditor Account exists for this student and the email address is correct, you don’t need to go further. Please do not create a duplicate Parent Auditor Account!
    • If a Parent Auditor Account exists for this student and the email address is incorrect or needs to be updated, please contact VVA Support at support@virtualva.org.
    • If a Parent Auditor Account does not exist for this student, proceed to the next step.
  5. To create a Parent Auditor Account, enter the first name, last name, and email address for the parent/guardian requesting the Parent Auditor Account.
  6. Click Create. The account will be created, and an automated email will be sent to the parent/guardian with instructions on how to set up their password and access their account.
  7. Please share with the parent/guardian the URL of the Parent Auditor Account web page: https://www.virtualvirginia.org/parents/parent-auditor-accounts. This page also provides account access instructions.
