Follow the instructions below to enroll a student in elementary (grades K–5) instruction with Virtual Virginia.

  1. Using your counselor/coordinator ID and password, log in to the Genius SIS. If you can’t remember your password, click the “recover password” link.
  2. Go to the student’s profile page.
  3. Under Actions, click Enroll in Section.

  4. In the Enrollment Status dropdown menu, select Full Time. Click on the Course dropdown menu, type “Grade” to populate grades 1-5.  For Kindergarten, type Kindergarten.  Select the grade level desired.

  5. The Term dropdown will auto-populate to allow you to choose between semester 1 or semester 2 enrollment.  Select Synchronous for the Asynchronous/Synchronous drop-down.  This is the only option for elementary grades.

  6. If you selected Semester 1, an option will appear to automatically also enroll the student in Semester 2.  Select Yes or No.

  7. Select the Mentor.

  8. Review the Enrollment Terms.  Click the box to agree to the terms.  Click Enroll.  You will automatically be transferred to the Payment Queue.

  9. If you do not see the enrollments in the Payment Queue, click Get Data.   Select the enrollments that need to be paid and click the Select Payment Method button.

  10. Select the Payment Method desired. If you select To Be Paid by Student in the dropdown menu, the family will be responsible for making the enrollment fee payment and they will receive an email notification.

  11. Click the Submit button. When you click the Submit button, this billing item will be available for the family to pay.
    Click the Submit button.

To set up your password and access your VVA student account, follow these instructions:

  1. Before proceeding, you must have your VVA username, which is not your email address.
    • Shortly before a term begins, students will receive an email from Virtual Virginia that contains their VVA username and instructions on setting their password.
    • If a student is a late enrollment in a VVA course, then the student may request their username from their school counselor who is responsible for VVA enrollments. (If you do not know who this individual is, please email VVA Support at support@virtualva.org, and we’ll be glad to help you.)
  2. Once you have your VVA username, go to the VVA Recover Password page.
  3. In the “Login” text field, enter your VVA username. (Do not enter your email address.) Click the Submit button.
  4. An automated message will be sent to your email address associated with the VVA username. Find the temporary password in that message.
  5. Go to the VVA Login page.
  6. Enter your VVA username and temporary password in the appropriate fields and click the Sign me in button. We recommend that you do not copy/paste your temporary password, which may insert invisible spaces and prevent you from logging in successfully.
  7. You will be prompted to create a new password. Enter a new, strong password in both text fields and click the Change Password button.

If successful, you will see your VVA dashboard! Note that as a student, you can access your VVA online courses once they begin on their respective start dates.

Remember to keep your new password private so that your VVA account will remain secure.

After setting up your password, you can follow these instructions to access your VVA course(s) in the future.

The “Alumni” status in the Genius SIS is reserved only for students who have graduated from high school. To set a student’s status to Alumni, follow these instructions on to update the student’s account.

Never set a student’s status to Alumni unless they have completed grade 12 and graduated. Otherwise, if a student moves to another school or division, they will remain affiliated with your school until their new school/affiliation requests that the student be transferred.

    • Click Upload.
    • Click the Save button.
  5. If you want to type or paste a small amount of text related to this student’s accommodations, do the following:
    • Click Edit Information on the left side of the page.
    • Under Academic, type (or paste) the accommodations information in the Accommodation Details field. Note that the field allows a limited amount of text, so please only provide information about those accommodations that are necessary in an online learning environment.
    • Click the Save button.

To update a student’s information in Genius SIS:

  1. Using your counselor ID and password, log in to Genius. If you can’t remember your password, click the “recover password” link.
  2. Click the Students tab at the top of the page.
  3. Click the name of the student whose information will be updated.
  4. Click Edit Information on the left side of the page and enter the student’s updated information as needed.
  5. Click the Save button.

Please note the following when updating a student’s information:

  • Student and parent/guardian email addresses: Please follow these guidelines for email addresses.
  • STI: Each student’s State Testing Identifier (STI) is a 9- or 10-digit number beginning with 101 or 102. Every student enrolled in a Virginia public school must have an STI. This data is reported to the VDOE twice a year. Please ensure this information is accurate for each student in VVA’s Genius SIS.
  • Accommodations: Student accommodation documents related to IEPs, 504s, etc. may be directly uploaded to the student’s profile page by following these instructions:
    1. On the student’s profile page, click External Files on the far left.
    2. Click Upload New File.
    3. Enter the appropriate information.
    4. Choose a file to upload.
    5. Click Upload.

Mentors, counselors, and school/division coordinators of record can pull summary attendance reports by following these steps:

  • Using your mentor, counselor, or coordinator ID and password, log in to Genius SIS. If you can’t remember your password, click the “recover password” link.
  • Click the Students tab at the top of the page.
  • Click Student Absences on the left side of the page.
  • Enter the Start Date and End Date for the desired date range.
  • In the Status Attendance dropdown menu, select either Absent or Present, or leave this field blank to show all students’ attendance status.
  • In the Affiliation dropdown menu, division coordinators may choose a specific school in their division, or leave that field blank to display all students in their division.
  • Click the Get Data button to generate the report.

You will not be able to create a duplicate account.  Virginia public school students can only be enrolled with a State Testing Identifier (STI) number.

  3. Click the Add Student button on the left side of the page.
  4. Complete all of the yellow-highlighted fields.
