The responsible school code for each Virginia public school with current enrollments may be found in this VDOE document (PDF).  

To update a school’s responsible school code:

1. Using your counselor ID and password, log in to Genius. If you can’t remember your password, click the “recover password” link.
2. Click the Affiliations tab.
3. Click your school’s name.
4. On the left side of the window, click Edit Information.
5. At the bottom of the page, enter your school’s code next to the field labeled “Responsible School Code (4-digit DOE Code for School).”
6. Click Save.

In addition, confirm that each student’s primary affiliation in the VVA Genius SIS is the school currently responsible for that student. To view and update a student’s information, follow these instructions.

To run a Division Balance Report, follow the instructions below:

1. Using your counselor ID and password, log in to Genius. If you can’t remember your password, click the “recover password” link.
2. Click the Reports tab.
3. Click Run Report.
4. In the dropdown menu, select the Division Balance Report based on the term you need.
5. Click the Run Report button.
6. The report will show all enrollments for the term and associated enrollment fees (if any).
   
   Enrollment Fee: If this is 0, then the enrollment on that row was part of the statewide free enrollment allotment for that school year. Otherwise, the number represents the enrollment fee in dollars.
   Paid by Credit Card: If “Yes,” then the enrollment fee has already been paid. If “No,” then the enrollment fee has not been paid. Please note that “No” will also appear for free enrollments; in that case, you may disregard.

Note:

• Only a school coordinator or division coordinator may run a Division Balance Report.
• When a division coordinator runs a report, they will see enrollments in all the schools (affiliations) in their division.
• When a school coordinator runs a report, they will see only the enrollments in their school (affiliation).

Counselors and school/division coordinators may deactivate mentor accounts by following the instructions below:

1. Using your counselor ID and password, log in to Genius SIS. If you can’t remember your password, click the “recover password” link.
2. Click the Mentors tab at the top of the page.
3. Click the name of the mentor whose account you want to deactivate.
4. Click Edit Information on the left side of the page.
5. Click the Status dropdown selector and choose Inactive.
6. Click the Save button.

Counselor, school/division coordinator, and principal accounts must be deactivated by Virtual Virginia. Please contact support@virtualva.org for assistance.

Before creating a new affiliation, please email support@virtualva.org to verify that you will need to create a new affiliation or an affiliation already exists for the school. After verifying a new affiliation is needed, the support team will send you instructions to complete the affiliation creation process.

The enrolling school remains responsible for all student services (including but not limited to 504, IEP, ELL, Occupational Therapy, and Speech services). Gifted programming is determined by the enrolling school. Students enrolled in VVA courses retain membership in the enrolling division; they apply for free- or reduced-price meals through their enrolled school division’s application and approval process and are served via local processes that vary by division.
