For accurate data reporting, Virtual Virginia requires that each participating school with fall membership provide and/or confirm its four-digit responsible school code, as determined by the Virginia Department of Education (VDOE), within the VVA Genius student information system (SIS).

The responsible school code for each Virginia public school with current enrollments may be found in this VDOE document (PDF).  

To update a school’s responsible school code:

  1. Using your counselor ID and password, log in to Genius. If you can’t remember your password, click the “recover password” link.
  2. Click the Affiliations tab.
  3. Click your school’s name.
  4. On the left side of the window, click Edit Information.
  5. At the bottom of the page, enter your school’s code next to the field labeled “Responsible School Code (4-digit DOE Code for School).”
  6. Click Save.

In addition, confirm that each student’s primary affiliation in the VVA Genius SIS is the school currently responsible for that student. To view and update a student’s information, follow these instructions.

Many schools have different deadlines by which they need end-of-year course grades.

Each academic year, a school counselor or school/division coordinator should share the date(s) by which their school or division requires final grades for graduating students (seniors) and non-graduating students (underclassmen). Please keep in mind that all student work must be submitted prior to VVA’s course end dates, including any requests for assignment extensions due to extenuating circumstances during the final weeks of the course.

To update a school’s end-of-year grade reporting deadlines:

  1. Using your counselor ID and password, log in to Genius. If you can’t remember your password, click the “recover password” link.
  2. Click the Affiliations tab.
  3. Click your school’s name.
  4. On the left side of the window, click Edit Information.
  5. At the bottom of the page, enter your school’s required end-of-year grade reporting deadlines for underclassmen (non-graduating students) and seniors (graduating students). (See image below.)
  6. Click Save.
Enter the final course grade deadline for non-graduating students in the Underclassmen End-of-Year Grade Date field and the final course grade deadline for graduating students in the Graduating Seniors End-of-Year Grade Date field.

To update a division’s end-of-year grade reporting deadlines for all schools within that division, please send an email request to support@virtualva.org with the names of the schools and the grade reporting deadlines for seniors and underclassmen.

Please note that this information must be updated each academic year. Virtual Virginia will send occasional reminders via email to school counselors and school/division coordinators.

The deadline information you provide will be shared with all VVA instructors so they can submit your students’ final grades by your school/division’s deadlines and adjust students’ assignment due dates and final assessment schedules as needed.

Counselors/coordinators should document and annually update student accommodations (such as an IEP, a 504 plan, etc.) in the Virtual Virginia SIS. This will ensure that VVA instructors have access to student accommodation information in a secure environment.

To document or update a student’s accommodations, follow these steps:

  1. Using your counselor/coordinator ID and password, log in to the Genius SIS. If you can’t remember your password, click the “recover password” link.
  2. Click the Students tab at the top of the page.
  3. Click the name of the student whose information will be updated.
  4. If you want to upload an accommodations document, do the following:
    • Click External Files on the far left.
    • Click Upload New File.
    • Enter the appropriate information.
    • Choose a file to upload.
    • Click Upload.
    • Click the Save button.
  5. If you want to type or paste a small amount of text related to this student’s accommodations, do the following:
    • Click Edit Information on the left side of the page.
    • Under Academic, type (or paste) the accommodations information in the Accommodation Details field. Note that the field allows a limited amount of text, so please only provide information about those accommodations that are necessary in an online learning environment.
    • Click the Save button.

You may update the school’s counselor of record in the VVA Genius SIS in one of two ways:

If the current counselor of record is still available to make changes:

  1. The current counselor of record must do both of the following:
  2. Email support@virtualva.org to request that the new counselor’s role be assigned as the counselor of record for the school.
    • If the replaced counselor of record will continue to be a user in the VVA Genius SIS, please let us know what role to reassign to that user. The replaced counselor’s account will remain active unless a deactivation request is sent.

If the current counselor is no longer available (e.g., they have left the school or retired), then the current school/division coordinator or principal of record must email support@virtualva.org to request a new counselor of record. Please include the new counselor’s name and email address (and, if they are currently a mentor in the VVA Genius SIS, their mentor username).
