School division attendance policies for online learning vary across the state. VVA reports daily attendance through the VVA SIS, and schools/divisions may retrieve this information for local attendance reporting needs according to local school/division policies.

How Summer Session Attendance Is Reported

Students who are enrolled in Summer Session courses are encouraged to attend daily synchronous meetings. If a student is unable to attend a synchronous session, they are responsible for watching the session recording in the course video collection. Attendance in each course is reported based on students’ daily Canvas LMS activity and progress submitting work, Monday through Friday.

Below are the expectations of students during Summer Session:

1. Attend daily sessions or watch daily recordings in the course video collection. Students may attend group synchronous or set 1:1 meetings during the week.
2. Students must check in regularly with their teachers via email, phone, and/or 1:1 meetings to confirm understanding.
3. Students must log in regularly to their course(s). Attendance will be measured through the LMS and reported via the VVA SIS.
4. Students must stay current with their course pacing and assignments and demonstrate consistent progress.

Consecutive Summer Session Absences

If a Summer Session student is reported as absent for two consecutive days (not including weekends), the student, parent/caregiver, mentor, and counselor will receive an automated “no login or activity” performance alert via email. Students who are identified by the “no login or activity” system a second time or who are inactive or fail to complete coursework over a second two-calendar-day period may be academic withdrawn from the Summer Session course. No refund will be provided as a result of an academic withdrawal.

Academic Withdrawals

A Summer Session student who is consistently absent or falls behind in their coursework may be placed on a Pace Recovery Plan (PRP) at the discretion of the VVA instructor. Students who do not adhere to the PRP in its entirety will be academically withdrawn from the Summer Session course. All PRP work must be submitted prior to the end of the term.

• Click Student Absences on the left side of the page.
• Enter the Start Date and End Date for the desired date range.
• In the Status Attendance dropdown menu, select either Absent or Present, or leave this field blank to show all students’ attendance status.
• In the Affiliation dropdown menu, division coordinators may choose a specific school in their division, or leave that field blank to display all students in their division.
• Click the Get Data button to generate the report.

Attendance Criteria

For students in grades K–5 and students in grades 6–12 who are enrolled in courses with synchronous meeting times, attendance is reported based on students’ presence in daily synchronous instruction sessions, Monday through Friday. A student is reported as present when their camera is on, showing them engaged in the instructional session. (A student with an approved, camera-related exception recorded in their learning plan is not subject to the “camera-on” requirement.) If a student is unable to attend a synchronous session, they are responsible for watching the session recording in the Course Video Library.

For students in grades 6–12 who are enrolled with the asynchronous option, attendance is reported based on daily activity in students’ individual VVA courses within the learning management system.

A student’s parent/caregiver should communicate directly with the local school regarding excused or unexcused absences. VVA instructors do not approve or record excused absences.

If a student is reported as absent for 4 consecutive days (excluding weekends), the student, parent/caregiver, assigned mentor, and counselor of record will receive an automated “no login or activity” performance alert via email. Students who are identified by a “no login or activity” performance alert a second time or who are inactive or fail to complete coursework over a second four-calendar-day period may be academically withdrawn from the VVA course.

Accessing Attendance Information

The counselor/coordinator of record and designated mentor may access daily attendance information for students in grades K–12 via the VVA SIS by following these steps:

To access student attendance information in Genius SIS:

1. Using your counselor or mentor ID and password, log in to Genius. If you can’t remember your password, click the “forgot password” link.
2. Click the Students tab.
3. Click Student Absences.
4. Select a Start Date and End Date (and Affiliation, if necessary).
5. Click Get Data.

Each student and their parent/caregiver also have a widget on their VVA SIS dashboard displaying the student’s absences for the last seven days.
